# Managing Credit Limits (Admin Guide)

> This is the admin side screen where you add companies, set their credit limits, break that credit down by location and customer, and audit how credit has moved over time.

## 1. The Credit Limits dashboard

This is the app's home screen. It lists every company you've added and gives you a quick read on their credit status.

**Locations**

Before any locations have limits, shows an **Add locations** link. Once set, shows a count (e.g. `1 locations`) linking into the location breakdown.

**Customers**

|

Same pattern as Locations — **Add customers** before setup, then a count (e.g. `1 customers`) once purchase limits exist.

**Logs**

|

A delete (trash) icon to remove the company, and a view (eye) icon to open its **Credit ledger**.

A **Search companies** field lets you filter the list. If no companies have been added yet — or a search doesn't match the table shows an empty state ("No companies found").

## 2. Adding a new company

Click **+ Add New Company** in the top right of the dashboard.

1. **Company Selection**: search for and select the B2B company (pulled from your Shopify B2B companies) you want to manage credit for.

2. **Initial Credit Limit**: enter the total credit limit for the company, in your shop's default currency. This field is required.

3. Click **Add Company**.

> 💡 After creating the company, you can add location-specific credit accounts to distribute that total credit across multiple company locations.

The company then appears in the Company Credit Limits table with its limit, \$0 used, and 0% usage until orders start drawing against it.

## 3. Managing location credit limits

Click **Add locations** (or the location count, once set) on a company's row to open **Manage Location Credit Limits**.

**Credit Allocation Summary** at the top always shows the company-wide numbers for context:

* Total Company Credit Limit

* Company Used Credit

* Company Available Credit

**Individual Location Limits** lists every location under that company, with a counter showing how many currently have a limit (e.g. `1 of 1 with limits`).

* A location with no limit shows **Credit Limit: Not Set** and a **Set Limit** action.

* Once a limit is set, the row expands to show **Used** amount, the **Credit Limit** value, plus **View Logs**, **Remove Limit**, and **Edit Limit** actions.

Click **Done** to close the panel.

**Rule to keep in mind:** an individual location's credit limit can't exceed the company's total credit limit but that ceiling applies separately to *each* location, not as a shared total split between them. So with **Company A = $500**, you could set **Location A = $500** *and* \*\*Location B = $500** at the same time — each location is capped at $500 independently, not against a combined \$500 pool.

## 4. Managing customer purchase limits

Click **Add customers** (or the customer count, once set) on a company's row to open **Manage Customer Purchase Limits**. This works the same way as location limits, but per authorized customer:

**Customer Purchase Limit Summary** shows the same company-wide Total Credit / Used / Available figures. It also lists each authorized customer (name + email) with a counter (e.g. `1 of 1 with limits`).

* Not yet configured: **Purchase Limit: Not Set** with a **Set Limit** action.

* Once set: shows **Used** amount, the **Purchase Limit** value, and **View Logs**, **Remove Limit**, **Edit Limit** actions.

Click **Done** to close the panel.

**Rule to keep in mind:** the sum of all customer purchase limits cannot exceed the company's total credit limit.

## 5. Reading the Credit ledger

Click the eye icon in the **Logs** column (or **View Logs** from a location/customer row) to open the **Credit ledger** for that company, location, or customer balance.

**Movement on available credit** is the summary block at the top:

Below that, a note flags that the same orders may have also drawn on **separate balances** not included in the statement above — for example, **Location balance** and **Customer balance** entries — since an order can draw down company, location, and customer credit simultaneously.

**Entries** section:

* Toggle between **Company balance** and **All balances** to change scope.

* A table lists individual ledger entries; if none match the current filters, an empty state suggests switching to **All balances**.

* **Change filters** / **Clear filters** at the top adjust the date range or scope.

* Pagination controls (**Rows per page**, **Showing X of Y**) sit at the bottom of the entries table.

Use the ledger to trace exactly why a company, location, or customer's available credit changed — and to reconcile it against specific orders.
