Understanding the Credit Ledger

The Credit ledger is where every credit movement — purchases, restored credit, and limit changes — gets recorded, at the company, location, and customer level

There are two ways available in the credit ledger: one according to companies, or across your entire B2B customer base.

1. The per-company Credit ledger

Click the eye icon in the Logs column on the Credit Limits dashboard (or View Logs from a location/customer row) to open the Credit ledger for that company, location, or customer balance.

Movement on available credit is the summary block at the top:

Line Meaning

Opening available credit

Balance at the start of the filtered period.

Purchases

Total spent across orders in the period (shown with order count).

Credit restored

Credit returned — e.g. from cancellations or refunds (shown with entry count).

Net movement

Purchases minus credit restored.

Closing available credit

Balance at the end of the period.

Entries section:

  • Toggle between Company balance and All balances to change scope.

  • A table lists individual ledger entries; if none match the current filters, an empty state suggests switching to All balances.

  • Change filters / Clear filters at the top adjust the date range or scope.

  • Pagination controls (Rows per page, Showing X of Y) sit at the bottom of the entries table.

Use this view to trace exactly why a specific company, location, or customer's available credit changed.

2. The global Credit ledger (all companies)

There's also a top-level Credit ledger view — "Every credit movement across all companies, locations and customers" — for when you need to scan activity across your entire B2B customer base rather than one company at a time.

Entries table columns:

Column What it shows

Date

When the entry occurred.

Type

The kind of ledger event, e.g. Limit change (also covers purchases and credit-restored events).

Balance

Which balance the entry affected — Company, Location, or Customer.

Details

A plain-language description of what happened (e.g. "Customer Credit Limit Set to $2000.00"), plus the company and, where relevant, the specific location or customer name underneath.

Reference

A link back to the related order, if the entry came from a purchase (shows for non-order entries like limit changes).

Amount

The change amount, signed (+ for increases).

Available after

The resulting available balance immediately after this entry.

Standard Rows per page and Showing X pagination controls sit at the bottom.

Filtering the ledger

Click Filter in the top right to open Filter Transaction Logs. This lets you narrow the entries table down to specific activity:

  1. Company — search and select a company to filter by.

  2. A second selector (location/customer, scoped to the chosen company) appears once a company is selected.

  3. Click Cancel Selection to clear your picks, or Apply to filter the table.

This is the fastest way to jump straight to one company's or location's history without opening that company's row individually.
